A folder of prompts is not infrastructure
When your best AI work lives in private chats, the business loses it the moment someone changes roles.
Teams adopting AI tend to follow the same path. One person gets good at it, builds a collection of prompts, and becomes the unofficial AI department. It works—until that person is busy, leaves, or forgets how a workflow was supposed to run.
Invisible systems break quietly
Private Claude and ChatGPT threads, prompt files only one person understands, and instructions nobody can safely update are all single points of failure. Nobody else can find them, govern them, or keep them current as the business changes.
Make it shared and editable
Durable AI work needs three things: approved business knowledge the AI can draw on, instructions the whole team can see and edit, and workflows that can be reused by anyone. That is the difference between a clever prompt and operating knowledge.
